Adaptive sales sequencing

Every prospect gets their own sequence.

Stop putting every prospect through the same cadence. Define the goal and the boundaries. rightnote decides when to send, what to say, when to wait and when to stop, for each prospect.

Works with Gmail and HubSpot. Outlook is next.

The problem

A fixed sequence treats an engaged prospect and a silent one the same way.

One prospect opened your email three times and their company just posted a relevant role. Another has shown no interest at all. A third asked you to check back next quarter. A calendar-based cadence sends all three the same follow-up on day three.

  4. ElenaStops instead of adding noise
  • Email
  • Email sent because the plan changed
  • Reply
  • Paused at the prospect’s request
  • Email that ignored what the prospect said
Poor timing
Outreach follows a calendar instead of what the prospect is doing.
Generic follow-ups
Emails go out because the next step came due, not because there’s a reason.
Prospect fatigue
High-frequency cadences keep going with no interest, sometimes to five people at one company.
Missed intent
A pricing visit or a relevant new hire doesn’t change what happens next.
Manual triage
Sellers still decide by hand who deserves attention today.
Weak learning
Teams tune templates, not the actions that actually book meetings.

How it works

Write a playbook, not a sequence.

Instead of asking what step four is, rightnote asks what should happen next, given everything it knows about this prospect right now.

  1. Step 1

    Write a playbook

Describe the audience, the goal, your product and your messaging angles. Set the limits: maximum emails, minimum gaps, account caps, when to stop.

    • audience
    • goal
    • angles
    • limits
  2. Step 2

    rightnote decides the next action

Each prospect is re-evaluated whenever something changes: an open, a click, a reply, a new job posting, a funding round.

    • send
    • wait
    • review
    • stop
  3. Step 3

You approve, then loosen the reins

Review every recommendation at first. As the decisions earn your trust, let routine actions run on their own.

    • review
    • assisted
    • autopilot
  1. Observe
  2. Update state
  3. Check the rules
  4. Decide
  5. Act

Explainable

Every decision comes with a reason.

Each recommendation shows the factors behind it, the rules it was checked against, and what changed since the last plan. Every prospect has a timeline you can audit, down to the signal and its source.

Control

Rules you set. Judgment inside them.

Unsubscribes, frequency limits and suppression are enforced in code, not in a prompt. The model only decides within the boundaries you define.

Automation you turn up as trust builds

  1. Review everythingDefault

rightnote proposes every action and every email. Nothing sends until you approve it.

  2. Assisted

Routine follow-ups, waits and stops run on their own. First emails and reactivations wait for you.

  3. Autopilot

Runs within the playbook. Replies, low-confidence calls and high-value accounts still come to you.

Learning

Learn which sales behaviors actually work.

Every email carries its strategy: the signal, the angle, the timing. rightnote reports which of them lead to meetings, measured against a fixed-sequence holdout, so you know the lift is real.

Questions

How do I get started?

Book a 30-minute demo. We run rightnote on a sample of your prospects, and if it’s a fit we set up your workspace with you: connect HubSpot and Gmail, write your first playbook, and review the first decisions together.

Is this an AI SDR?

No. rightnote is a sequencing product. AI helps judge signals, choose an angle and draft emails, but the core of the product is deciding what should happen next for each prospect, inside rules you set.

Will it send email without my approval?

Not by default. Every recommendation starts in a review queue. You can let routine actions run on their own once you trust them. Replies, low-confidence decisions and high-value accounts always come to a person.

How are unsubscribes and frequency limits handled?

In code, not by the model. Unsubscribes, bounces, negative replies, maximum emails and minimum gaps are checked before anything is queued, and again at the moment of sending.

Can I see why it made a decision?

Yes. Every recommendation lists the factors behind it, the rules it was checked against, the signals it used with their source, and what changed since the last plan.

Which tools does it work with?

Gmail and HubSpot today, plus CSV import. Outlook is next, then Salesforce.

Does it replace my contact database?

No. rightnote works with the prospects you already have in your CRM. It isn’t a contact database, and it doesn’t automate LinkedIn or dial phones.
